Cancellation and Refund Policy

Kenya Incentive Tous and Safaris Limited (KITS)

This Cancellation and Refund Policy outlines the terms governing booking cancellations, refunds, and related charges for all safaris and incentive travel experiences arranged by Kenya Incentive Safaris.

At Kenya Incentive Safaris, we carefully plan every safari and incentives experience in advance. Because we secure accommodations, vehicles, guides, and park permits ahead of time, cancellation fees apply as outlined below.

By confirming a booking, you agree to this policy.

1. Deposits & Payments

  • A 50% deposit is required to confirm your booking depending on the selected package.
  • Some luxury lodges, peak season dates, and special permits may require higher deposits (up to 100%).
  • Full payment is due 45–60 days before departure unless special circumstances.
  • Bookings made within 45 days of travel require full payment at confirmation.

Failure to complete payment on time may result in cancellation and applicable charges.

2. Cancellation by You (Individual Bookings: 1–7 Guests)

All cancellations must be submitted in writing via email.

Cancellation fees are based on the number of days before your departure date:

  • 60+ days before travel – Deposit forfeited
  • 59–45 days – 50% of total tour cost
  • 44–30 days – 75% of total tour cost
  • 29–15 days – 90% of total tour cost
  • 14 days or less – 100% of total tour cost (no refund)

3. Cancellation and Refund Policy for Groups & Incentive Travel (8+ Guests)

Due to pre-secured contracts with lodges and service providers, stricter terms apply:

  • 90+ days before travel – Deposit forfeited
  • 89–60 days – 50% of total tour cost
  • 59–30 days – 75% of total tour cost
  • 29 days or less – 100% of total tour cost (no refund)

Some properties or charter flights may have stricter cancellation terms, which will be communicated at booking.

4. No-Show Policy

If you fail to arrive on the departure date or miss any booked service:

  • The booking will be treated as a no-show
  • 100% of the tour cost is non-refundable
  • Unused services are not refundable

5. Changes to Confirmed Bookings

Requests to change travel dates, accommodation, or services may:

  • Incur supplier fees
  • Be subject to availability
  • Result in rate differences

Significant changes may be treated as a cancellation and rebooking.

6. Refund Processing

Where refunds apply:

  • Deposit made can be credited for future use (365 Days) without any charges.
  • Refunds are processed within 15–30 business days
  • Refunds are made using the original payment method where possible
  • Bank charges, card fees, and currency exchange differences are non-refundable
  • Refunds are subject to supplier reimbursement timelines
  • Refunds are subject to supplier reimbursement timelines
  • A 10% non-refundable cost will be used for administrative costs.

7. Force Majeure (Unforeseen Events)

In the event of circumstances beyond our control — including natural disasters, political unrest, government restrictions, pandemics, airline shutdowns, or similar events — Kenya Incentive Safaris may:

  • Reschedule your trip
  • Offer travel credit for future use within a year
  • Provide a refund subject to supplier recovery

We are not responsible for additional costs such as flights, visas, insurance, or other third-party services.

8. Airline Tickets & Third-Party Services

Flights, visas, insurance, and other third-party services are subject to the policies of those providers.

Kenya Incentive Safaris is not responsible for airline schedule changes, missed connections, or baggage issues.

9. Travel Insurance (Strongly Recommended)

We strongly recommend comprehensive travel insurance covering:

  • Trip cancellation
  • Medical expenses
  • Emergency evacuation
  • Travel disruptions
  • Luggage Loss

Failure to obtain insurance is at the traveller’s own risk.

10. Early Departure

If a traveller leaves a safari after it has started, no refund will be issued for unused services.

11. Legal Jurisdiction

This Cancellation and Refund Policy is governed by the laws of the Republic of Kenya.
